Privacy Policy

AI Inbox provides tools that help users capture information, organize it with artificial intelligence, and take actions such as creating reminders, calendar events, and shopping items. This Privacy Policy explains how information is collected, used, stored, and shared when you use AI Inbox.
Information We Collect
We may collect information you provide directly to AI Inbox, including text, notes, task descriptions, event information, shopping items, dates, locations, and other content you submit for analysis or action.
We also collect basic account information required to authenticate you, such as your email address and account identifier through our authentication provider.
AI Inbox may store action history, including the type of action requested, its status, timestamps, and information necessary to complete the requested action.
How We Use Information
Information is used to provide and operate AI Inbox, including analyzing submitted content, determining appropriate actions, creating requested tasks or events, maintaining action history, authenticating users, troubleshooting problems, preventing abuse, and improving reliability.
Artificial Intelligence Processing
Content submitted to AI Inbox may be sent to third-party artificial intelligence service providers for processing. These services are used to interpret submitted information, classify it, extract relevant details, and determine suggested actions.
Connected Google Calendar
If you choose to connect Google Calendar, AI Inbox requests permission to create reviewed events in your calendar. Connection tokens are stored in encrypted form and can be disconnected at any time from Settings. AI Inbox does not create an event until you select the create action after reviewing its details.
Optional Gmail Scanning
If you choose to connect Gmail, AI Inbox requests read-only access to search a limited set of recent messages daily, or when you request a scan, for receipts, shipping updates, returns, refunds, warranties, renewals, and reimbursements. AI Inbox cannot send, delete, modify, or mark email as read. Matching messages may be processed by our artificial intelligence provider and stored as review suggestions; nothing is saved to your receipt record or applied to a purchase until you approve it. Connection tokens are encrypted, and you can stop scanning and revoke access by disconnecting Gmail at any time from Settings.
Imported Financial Statements
If you choose to import a bank or credit-card statement, AI Inbox stores the account label you provide and the transaction dates, descriptions, amounts, currencies, and source file metadata needed to show spending and suggest receipt matches. AI Inbox does not request or store online-banking credentials or complete account numbers for statement imports. Suggested matches remain reviewable and are not silently linked.
AI Inbox’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide the user-facing Gmail scanning and review features and is not used to train generalized artificial intelligence or machine learning models.
Optional Deadline Emails
If you enable receipt deadline emails in Settings, AI Inbox uses your primary account email address and a third-party email delivery provider to send notices about active purchase deadlines. These notices may include the saved merchant, amount or summary, deadline, and a link to the receipt. You can turn deadline emails off at any time in Settings.
Mac Agent and Native Actions
Some AI Inbox features use a local Mac Agent installed and operated on a user's Mac. The agent retrieves authorized action jobs from AI Inbox and may create items in supported macOS applications such as Apple Reminders and Calendar.
The Mac Agent communicates with AI Inbox over the internet and only receives information required to perform requested actions.
Service Providers
AI Inbox uses third-party service providers to operate the service. These may include providers for authentication, artificial intelligence processing, database hosting, email delivery, cloud deployment, and infrastructure.
These providers may process information as necessary to provide their services to AI Inbox.
Data Storage and Retention
AI Inbox retains submitted content, forwarded receipt emails, imported financial transactions, and action history while your account uses the service, unless you delete it. Forwarded emails are processed by our email delivery provider before AI Inbox stores the review copy. Limited, content-free operational records may be retained to diagnose reliability and security issues.
Data Security
We use reasonable technical and organizational safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction. No internet-based service can guarantee absolute security.
Your Choices
You may choose not to submit information to AI Inbox. In Settings, you can export your stored AI Inbox data, disconnect Google Calendar or Gmail, and permanently delete the data stored by AI Inbox. Deleting AI Inbox data does not delete your sign-in account.
Children's Privacy
AI Inbox is not intended for children under 13, and we do not knowingly collect personal information from children under 13.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date shown at the top of this page.
